Welcome to Royal Nepal Group Pvt. Ltd. By booking any tour, trek, helicopter tour, cultural excursion, pilgrimage, adventure activity, transportation service, or travel package with Royal Nepal Holidays, you agree to the following Terms & Conditions.
1. Booking Confirmation
A booking is confirmed only after receipt of the required deposit and written confirmation from Royal Nepal Holidays.

A minimum deposit of 20% to 30% of the total trip cost is required to secure a booking.

Some luxury tours, helicopter tours, flights, and international packages may require full payment in advance.

The remaining balance must be paid before the trip departure or upon arrival in Nepal as specified in the booking confirmation.
2. Payment Methods

Cash Payment in Nepal
Any transaction fees charged by banks, payment processors, or card providers are the responsibility of the client.
3. Cancellation Policy
Cancellation requests must be submitted in writing via email.
Cancellation by Client

More than 30 days before departure: Deposit is non-refundable, remaining balance refunded.

15–30 days before departure: 80% of total trip cost charged.

Less than 15 days before departure: No refund.
-
No-show after trip commencement: No refund.
Cancellation by Royal Nepal Holidays
If we cancel a trip due to operational reasons, safety concerns, or unforeseen circumstances, clients may choose:

An alternative trip of similar value.
-
A future travel credit.
-
A full refund of payments received for unused services.
4. Changes to Bookings
Any changes requested after confirmation may incur additional charges.
Changes may include:

Travel dates
-
Flight schedules
-
Hotel upgrades
-
Trekking routes
-
Participant information
All modifications are subject to availability.
5. Travel Insurance
Comprehensive travel insurance is mandatory for trekking, mountaineering, and adventure activities.
Insurance should cover:

Medical treatment
-
Emergency evacuation
-
Helicopter rescue
-
Trip cancellation
-
Personal accident
-
Loss of baggage
Royal Nepal Holidays is not responsible for costs not covered by insurance.
6. Passport and Visa Requirements
Clients are responsible for ensuring they possess:

A valid passport with at least six months validity.

Appropriate visas.
-
Necessary permits and travel documents.
Royal Nepal Holidays can provide guidance but cannot be held responsible for visa refusals, immigration issues, or denied entry.
7. Health and Fitness
Clients must ensure they are physically and mentally fit for the activities booked.
Clients must disclose:

Existing medical conditions
-
Allergies
-
Physical limitations
-
Special medical requirements
Royal Nepal Holidays reserves the right to refuse participation if a client’s condition poses a safety risk.
8. Trekking and Adventure Activities
Activities such as trekking, hiking, rafting, paragliding, mountain flights, helicopter tours, and mountaineering involve inherent risks.
By booking such activities, clients acknowledge and accept these risks and may be required to sign additional liability waivers.
9. Itinerary Changes
Travel in Nepal may be affected by:

Weather conditions

Flight delays
-
Road closures
-
Political situations
-
Natural disasters
Royal Nepal Holidays reserves the right to modify itineraries when necessary for safety or operational reasons.
10. Flight Delays and Cancellations
Domestic mountain flights, including Lukla and Jomsom routes, are highly weather dependent.
Royal Nepal Holidays is not responsible for:

Airline delays

Flight cancellations
-
Rescheduling by airlines
Additional accommodation, meals, and transportation costs resulting from delays are the responsibility of the client.
11. Liability and Responsibility
Royal Nepal Holidays acts as an intermediary between clients and service providers including:

Airlines

Hotels
-
Transportation companies
-
Helicopter operators
-
Local suppliers
We shall not be liable for injury, loss, damage, delay, accident, or expense caused by third-party service providers or events beyond our control.
12. Force Majeure
Royal Nepal Holidays shall not be liable for failure or delay in performing obligations due to events beyond reasonable control, including:

Earthquakes

Landslides
-
Floods
-
Pandemics
-
Government restrictions
-
Political unrest
-
Strikes
-
War
-
Border closures
In such situations, refunds may be subject to recovery from suppliers.
13. Accommodation Standards
Accommodation standards in remote areas of Nepal may differ from international standards.
Royal Nepal Holidays will make every effort to provide accommodations as advertised; however, equivalent alternatives may be arranged if necessary.
14. Personal Belongings
Clients are solely responsible for their personal belongings during the trip.
Royal Nepal Holidays shall not be responsible for:

Loss

Theft

Damage

Misplacement of personal items
15. Photography and Marketing
Royal Nepal Holidays may use photographs, videos, testimonials, and reviews taken during trips for promotional purposes.
Clients who do not wish their images to be used must notify us in writing before the trip begins.
16. Client Conduct
Clients are expected to behave respectfully toward:

Staff
-
Local communities

Other travelers
Royal Nepal Holidays reserves the right to remove any participant whose behavior jeopardizes safety, comfort, or enjoyment of others without refund.
17. Child Policy
Travelers under 18 years of age must be accompanied by a parent or legal guardian unless special arrangements have been approved in writing.

Royal Nepal Holidays respects your privacy.
Personal information collected during the booking process is used solely for:

We do not sell or share client information with unauthorized third parties.
19. Complaints and Dispute Resolution
Any complaint should be reported immediately to your guide or our office so corrective action can be taken.
Formal complaints must be submitted in writing within 14 days of trip completion.
20. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Nepal.
Any dispute arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Kathmandu, Nepal.
21. Acceptance of Terms
By making a booking with Royal Nepal Holidays, the client confirms that they have read, understood, and agreed to these Terms & Conditions in full.
