These Terms and Conditions are between the traveler (“Customer”) and Royal Nepal Group Pvt. Ltd., operating under the brand name “Royal Nepal Holidays” (“Royal Nepal Holidays”, “we”, “us” or “our”).
Welcome to Royal Nepal Holidays. These Terms and Conditions govern the use of our website and the booking and provision of travel, tour, trekking, adventure, transportation and related services arranged by Royal Nepal Holidays.
By submitting an inquiry, making a booking, paying a deposit or using our services, you acknowledge that you have read, understood and agreed to these Terms and Conditions.
Please read them carefully before confirming your trip.
1. About Royal Nepal Holidays
Royal Nepal Holidays is a Nepal-based travel and tourism service provider offering travel-related services including:
- Nepal tour packages
- Cultural and heritage tours
- Family and honeymoon tours
- Wildlife and jungle safari tours
- Trekking and hiking
- Mount Kailash and Mansarovar pilgrimage tours
- Peak climbing and mountaineering-related services
- Helicopter tours and charter arrangements
- Rafting and adventure activities
- Fishing and fishing expeditions
- Vehicle rental and private transportation
- Tourist bus services
- Airport transfers
- Customized and private travel arrangements
The term "Trip", "Tour", "Package" or "Services" on our website may refer to any combination of these travel arrangements.
2. Booking and Confirmation
A booking becomes confirmed only after:
- We receive the required deposit or payment; and
- Royal Nepal Holidays provides written confirmation of the booking.
Submitting an inquiry or completing an online booking form does not by itself guarantee availability or confirmation.
Availability of hotels, flights, vehicles, guides, permits, helicopter services and other travel components is subject to confirmation by the relevant service provider.
The lead traveler is responsible for ensuring that all members of the traveling party are aware of and accept these Terms and Conditions.
3. Deposit and Payment
A deposit of 20%–30% is generally required to confirm a booking. The exact deposit amount may vary depending on the trip, season, supplier requirements, permits, flights, accommodation, destination and other operational requirements.
The applicable deposit and payment schedule will be stated in the quotation or booking confirmation.
For certain services, including but not limited to:
- Mount Kailash/Mansarovar trips
- Peak climbing
- Expeditions
- Helicopter tours
- Domestic or international flights
- Special accommodation
- Customized private trips
- Permit-based trips
a higher deposit or full advance payment may be required.
The remaining balance must be paid according to the payment schedule provided with your booking confirmation.
If the required balance is not paid by the specified deadline, Royal Nepal Holidays may cancel the booking and apply the applicable cancellation charges.
4. Prices and Price Changes
Prices published on our website or provided in quotations are based on the information and supplier rates available at the time of quotation.
Prices may change because of:
- Hotel rate changes
- Airline or helicopter fare changes
- Fuel price changes
- Government taxes or fees
- Permit fees
- Transportation costs
- Exchange-rate fluctuations
- Supplier price changes
- Changes in government regulations
- Changes in itinerary or services requested by the traveler
The price confirmed in your booking confirmation will normally apply to your confirmed services.
Where additional costs arise because of government regulations, supplier price changes, requested itinerary modifications or circumstances beyond our reasonable control, the additional amount may be payable by the traveler.
5. Third-Party Suppliers
Royal Nepal Holidays may arrange services through third-party suppliers, including:
- Airlines
- Helicopter companies
- Hotels and resorts
- Transportation providers
- Local guides
- Trekking staff
- Rafting operators
- Safari operators
- Fishing operators
- Permit authorities
- Local partners
- Other tourism service providers
These services may be subject to the terms, availability and cancellation policies of the respective suppliers.
Any non-refundable or non-recoverable amount charged by a third-party supplier may be deducted from the customer's refund.
6. Itinerary Changes
We make every reasonable effort to operate trips according to the confirmed itinerary.
However, Royal Nepal Holidays may modify the itinerary, accommodation, transportation, activities or schedule when reasonably necessary because of:
- Weather
- Road conditions
- Flight delays or cancellations
- River conditions
- Natural disasters
- Landslides
- Political or civil disturbances
- Government restrictions
- Permit requirements
- Safety considerations
- Health or medical emergencies
- Aviation restrictions
- Local conditions
- Supplier operational requirements
- Other circumstances beyond our reasonable control
Where practical, we will provide a reasonable alternative or comparable service.
An itinerary change does not automatically entitle the traveler to a full refund where the change is caused by circumstances beyond our reasonable control.
7. Cancellation and Refunds
Cancellation and refund conditions are explained in our separate Refund & Cancellation Policy.
Cancellation charges may apply depending on:
- Date of cancellation
- Type of trip
- Deposit paid
- Supplier cancellation policies
- Hotel bookings
- Flight tickets
- Helicopter bookings
- Permits
- Transportation arrangements
- Guide and staff arrangements
- Other non-refundable expenses
Any refund will normally be calculated after deducting applicable non-refundable deposits, supplier charges, government fees, permits, payment processing charges and other actual non-recoverable expenses.

8. Travel Insurance
Travel insurance is strongly recommended for all travelers and may be mandatory for certain trekking, mountaineering, expedition, rafting or adventure programs.
Where insurance is mandatory, travelers may be required to provide proof of appropriate coverage.
Depending on the nature of the trip, we recommend insurance covering:
- Medical treatment
- Emergency evacuation
- Helicopter rescue
- Trekking and adventure activities
- Trip cancellation
- Trip interruption
- Lost baggage
- Delayed flights
- Personal accidents
Royal Nepal Holidays is not an insurance provider and does not guarantee reimbursement under a traveler's insurance policy.
Travelers are responsible for understanding the terms and coverage of their insurance.
9. Passports, Visas and Travel Documents
Travelers are responsible for ensuring that they have valid:
- Passports
- Visas
- Permits
- Travel documents
- Entry documents
- Required photographs
- Health or vaccination documents where applicable
- Other documents required for travel
Passport and visa requirements may vary according to nationality and destination.
Royal Nepal Holidays may provide reasonable assistance with travel arrangements but is not responsible for losses arising from invalid, expired, incomplete or incorrect travel documentation.
10. Trekking, Mountaineering and Adventure Activities
Trekking, climbing, rafting, fishing, jungle activities, helicopter tours and other adventure activities involve inherent risks.
Travelers must follow the instructions of:
- Guides
- Trekking leaders
- Pilots
- Rafting guides
- Activity operators
- Local authorities
- Safety personnel
Royal Nepal Holidays may modify, postpone or cancel an activity where conditions are considered unsafe.
For trekking routes where permits, licensed guides or TIMS requirements apply, travelers must comply with the applicable requirements. Nepal Tourism Board currently identifies several protected trekking regions where licensed guides and agency-issued TIMS cards are mandatory.
11. Rafting and Water Activities
Rafting and other water-based activities depend on river conditions, weather, safety assessments and operational requirements.
The rafting operator or guide may modify the route, timing or activity when necessary for safety.
Travelers must follow all safety instructions and disclose relevant medical or physical conditions that could affect participation.
No guarantee can be made regarding wildlife sightings, river conditions or specific experiences.
12. Fishing Activities
Fishing trips are subject to:
- Local regulations
- Fishing permits
- Seasonal restrictions
- River conditions
- Weather
- Conservation requirements
- Local authority regulations
Catch quantities or specific fish species cannot be guaranteed.
Travelers must follow all applicable conservation and fishing regulations.
13. Wildlife and Safari Activities
Wildlife sightings are naturally unpredictable.
Royal Nepal Holidays does not guarantee sightings of any particular animal, including:
- Royal Bengal Tiger
- One-horned rhinoceros
- Leopard
- Sloth bear
- Deer
- Wild elephant
- Other wildlife
Safari routes and activities may change according to park regulations, weather, safety and local conditions.
14. Helicopter Tours and Flights
Helicopter and flight operations are subject to:
- Weather
- Visibility
- Aviation regulations
- Air traffic restrictions
- Airport/helipad conditions
- Government restrictions
- Aircraft availability
- Safety requirements
- Operational considerations
A particular landing location cannot always be guaranteed.
If a flight is delayed, rerouted, cancelled or unable to land because of weather, safety or aviation restrictions, the applicable refund or rescheduling conditions will depend on the airline, helicopter operator and booking terms.
15. Health and Fitness
Travelers are responsible for assessing whether they are physically and medically fit for their selected trip.
Certain trips may involve:
- High altitude
- Long walks
- Remote locations
- Uneven terrain
- Cold weather
- Physical exertion
- River activities
- Adventure activities
Travelers should consult an appropriate medical professional before undertaking activities that may pose health or physical risks.
Travelers should inform Royal Nepal Holidays of relevant conditions or limitations that may affect safe participation.
16. High-Altitude Travel and Emergency Evacuation
High-altitude trekking and mountaineering involve risks including altitude sickness, injury, severe weather and other medical emergencies.
Emergency evacuation may be necessary where medically or operationally appropriate.
Any evacuation, medical treatment, additional accommodation, transportation or other emergency expenses are the responsibility of the traveler unless covered by the traveler's insurance or another applicable arrangement.
17. Accommodation
Hotels and resorts are provided according to the category confirmed in the booking.
Hotel names may be changed to another property of the same or comparable category when necessary due to availability or operational circumstances.
Room availability, check-in/check-out times, hotel facilities and services are subject to the policies of the respective property.
Any hotel upgrade requested by the traveler may involve an additional charge.
18. Transportation
Transportation services may be provided by private car, jeep, SUV, van, tourist bus, domestic flight, helicopter or other appropriate means depending on the itinerary.
Vehicle type may be changed to a similar or suitable vehicle when required because of availability, road conditions, passenger numbers or operational circumstances.
Travel time is an estimate and may be affected by:
- Traffic
- Road conditions
- Weather
- Construction
- Landslides
- Festivals
- Local events
- Government restrictions
- Other unforeseen circumstances
19. Meals and Included Services
Only the meals and services specifically stated in the confirmed itinerary or "Cost Includes" section are included.
Special meals, beverages, alcoholic drinks, room service, minibar charges and other personal food expenses are generally excluded unless specifically stated.
20. Personal Expenses
Unless specifically included in the booking, travelers are responsible for their own:
- Personal shopping
- Laundry
- Telephone calls
- Internet charges
- Alcoholic beverages
- Extra meals
- Tips
- Donations
- Camera/video fees
- Additional activities
- Personal equipment
- Medical expenses
- Travel insurance
- Visa fees
- Other personal expenses
21. Unused Services
No refund will normally be provided for services voluntarily unused by the traveler after the trip has commenced.
This may include:
- Unused hotel nights
- Unused meals
- Missed transportation
- Missed activities
- Unused trekking days
- Voluntary itinerary changes
- Early departure
Where a service is not used because of a cancellation or change caused by Royal Nepal Holidays or a supplier, the applicable refund will be assessed according to the circumstances and supplier policies.
22. Delays, Missed Connections and Force Majeure
Royal Nepal Holidays is not responsible for losses caused by circumstances beyond our reasonable control, including but not limited to:
- Natural disasters
- Earthquakes
- Floods
- Landslides
- Severe weather
- Road blockages
- Political unrest
- Strikes
- Government restrictions
- Border closures
- Aviation restrictions
- Pandemics or epidemics
- War or security incidents
- Acts of government authorities
- Major infrastructure failures
- Other force majeure events
Additional costs resulting from such circumstances may be payable by the traveler where they are not covered by suppliers or insurance.
23. Traveler Conduct
Travelers are expected to behave respectfully toward:
- Local communities
- Guides and staff
- Hotel employees
- Drivers
- Other travelers
- Wildlife
- Cultural and religious sites
- Local laws and regulations
Royal Nepal Holidays may terminate services without refund where a traveler behaves in a manner that presents a serious safety risk, causes significant disruption, damages property or violates applicable laws.
24. Environmental Responsibility
Travelers are expected to help protect Nepal's natural and cultural environment.
Travelers should:
- Avoid littering
- Follow park and conservation rules
- Respect local communities
- Follow waste-management requirements
- Avoid damaging natural or cultural sites
- Follow instructions from guides and authorities
Royal Nepal Holidays supports responsible and sustainable tourism practices.
25. Photography and Promotional Material
Royal Nepal Holidays may use photographs or videos taken during group activities for promotional purposes only where appropriate and permitted.
Where identifiable customers are specifically intended to be featured in promotional content, we will seek appropriate permission where required.
Travelers may request that identifiable personal images not be used for future promotional purposes.
26. Website Information
We make reasonable efforts to ensure that information published on our website is accurate and current.
However, itineraries, prices, hotel information, transportation schedules, availability and other travel details may change.
Website content should therefore be considered general information until the relevant service is confirmed in writing.
27. Third-Party Websites and Links
Our website may contain links to third-party websites or services.
Royal Nepal Holidays is not responsible for the content, availability, privacy practices, security or policies of third-party websites.
Travelers should review the terms and policies of third-party service providers where applicable.
28. Privacy and Customer Information
Royal Nepal Holidays may collect personal information necessary to provide travel services, including names, contact information, passport details, travel dates and other information required for bookings and permits.
Personal information will be handled in accordance with our Privacy Policy.
We may share necessary information with relevant service providers, authorities or partners where required to arrange the booked services.
We will not request unnecessary sensitive information through unsecured channels.
29. Complaints and Service Issues
If a traveler experiences a problem during a trip, they should inform Royal Nepal Holidays or the relevant service provider as soon as reasonably possible.
Prompt notification gives us a reasonable opportunity to investigate the issue and, where possible, correct or resolve it during the trip.
Complaints submitted after the trip should include relevant details and supporting documentation where available.
30. Liability
Royal Nepal Holidays will make reasonable efforts to provide the services confirmed in the booking.
However, we are not responsible for losses, delays, injuries, cancellations or additional expenses arising from circumstances beyond our reasonable control or from the independent acts or omissions of third-party suppliers.
Nothing in these Terms and Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.
31. Changes to These Terms
Royal Nepal Holidays may update these Terms and Conditions from time to time to reflect changes in our services, supplier requirements, regulations or business practices.
The version applicable to a booking will generally be the version accepted at the time of booking, unless a change is required by applicable law or mutually agreed with the traveler.
32. Governing Law
These Terms and Conditions shall be interpreted in accordance with the applicable laws of Nepal.
Travelers agree to comply with applicable laws, regulations and requirements of Nepal and the destinations included in their itinerary.
Where a dispute cannot be resolved through reasonable discussion, it shall be addressed through the appropriate legal or dispute-resolution process available under applicable Nepalese law.
33. Acceptance of Terms
By submitting a booking request, paying a deposit, making full payment or participating in a trip arranged by Royal Nepal Holidays, the traveler confirms that they have read, understood and accepted these Terms and Conditions.
The lead traveler is responsible for ensuring that all members of their booking party are informed of these conditions.
