At Royal Nepal Holidays, we understand that travel plans can change unexpectedly. This Refund & Cancellation Policy outlines the terms applicable to cancellations, refunds, trip modifications, and unforeseen circumstances. By booking a tour, trek, helicopter flight, or travel service with Royal Nepal Holidays, you agree to the following terms.
1. Booking Confirmation & Deposit
To confirm your booking, a deposit of 20%–30% of the total trip cost is required.
The remaining balance can be paid before arrival or upon arrival in Nepal, depending on the trip and booking agreement.
Certain services such as helicopter tours, luxury hotels booking, Tibet tours, and customized private journeys may require full advance payment.
2. Cancellation by the Client
All cancellation requests must be submitted in writing via email.

The initial booking deposit is non-refundable as it covers administrative costs, permits, reservations, and operational arrangements.
3. Helicopter Tours & Charter Flights
Due to advance aircraft reservations and operational commitments:

More than 15 days before departure: 90% refund

Less than 15 days before departure: No refund

Weather-related cancellations are eligible for rescheduling or partial refund after deduction of actual expenses incurred.
4. Everest Base Camp Helicopter Tours
For shared helicopter departures:

Full refund if Royal Nepal Holidays cannot operate the flight.

In case of weather cancellation, guests may choose:

Alternative departure date
-
Credit for future travel
-
Refund after deduction of non-recoverable costs

5. Credit for Future Travel
If you are unable to travel due to:

Medical emergencies
-
Flight disruptions
-
Visa rejection
-
Natural disasters
-
Government travel restrictions
Royal Nepal Holidays may offer a travel credit valid for up to 24 months from the original departure date.
Travel credits may be transferred to immediate family members or friends upon written request.
6. Cancellation by Royal Nepal Holidays
Royal Nepal Holidays reserves the right to cancel any trip due to:

Natural disasters

Political unrest
-
Safety concerns
-
Insufficient participants
-
Government restrictions
-
Unforeseen operational circumstances
In such cases, clients may choose:

A full refund, or

An alternative trip of equal value, or
-
Credit for future travel
7. Force Majeure
Royal Nepal Holidays shall not be liable for circumstances beyond our control, including but not limited to:

Earthquakes

Floods
-
Landslides
-
Severe weather
-
Epidemics or pandemics

Government restrictions
-
Strikes
-
Civil unrest
-
Flight cancellations
Refunds in these situations will be subject to deductions for non-recoverable costs already paid to third-party suppliers, permits, airlines, hotels, and transportation providers.
8. Flight Delays & Weather Disruptions
Mountain flights and domestic flights in Nepal (including Lukla, Jomsom, Simikot, and Pokhara routes) are highly weather-dependent.
Royal Nepal Holidays will assist in:

Flight rebooking

Alternative transportation arrangements
-
Helicopter upgrade options
Additional accommodation, meals, and transportation costs resulting from delays are the responsibility of the traveler unless specifically included in the package.
9. Unused Services
No refund will be provided for:

Missed sightseeing
-
Missed meals
-
Voluntary trip termination
-
Early departure from the tour
-
Unused accommodation
-
Transportation services not utilized by the traveler
10. Refund Processing
Approved refunds will be processed within 15–30 business days.
Refunds will be issued using the original payment method whenever possible.
Bank charges, payment gateway fees, transaction costs, and third-party cancellation charges will be deducted from the refundable amount.
11. Travel Insurance
We strongly recommend that all travelers obtain comprehensive travel insurance covering:

Emergency evacuation

Flight delays

Loss of baggage

Personal accidents
Royal Nepal Holidays is not responsible for losses that could otherwise be covered by travel insurance.
